Program Coordinator

The Justice Collaboratory at Yale Law School is an interdisciplinary group of nationally recognized academics, researchers, and social scientists who have joined together to build a more just, effective, and democratic criminal legal system by advancing public policies that are scientifically proven to build strong and safe communities where all citizens can thrive. Our full-time staff and membership represent a multitude of disciplines including law, history, psychology, medicine, philosophy, management, and political science.

The people who are happiest and most successful at the JC exercise thoughtfulness, intention, and rigor in their work. The Justice Collaboratory has a dozen full-time staff most of whom work a hybrid schedule (3 days a week) coming into our offices at Yale Law School in New Haven, CT.

    Job Description
    The Program Coordinator is at the heart of the Justice Collaboratory, providing administrative, communications, and program support. Working under the guidance of the Executive Director, they coordinate the center’s daily operations including processing of expenses, vendor setup and payment tracking, liaising with the YLS Business and Human Resource offices, job posting and research assistant hiring, meeting scheduling, event planning and management, travel booking, and communications outreach (e.g., maintaining the JC website, sending newsletters, social media support and basic graphic design).

    Oversees and coordinates program activities including:

  • Serves as a source of information on Yale policies, procedures, programs, and office activities.

  • Establishes and maintains professional relationships with internal and external contacts.

  • Processes and monitors expenses and ensures adherence to Yale business office guidelines. Prepares budget drafts based on existing budgets.

  • May coordinate, and/or complete applications and materials needed for grant submission.

  • Composes first drafts of correspondence and written material under direction of Executive Director.

  • Provides editorial support for center communications. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Maintains JC website, and social media channels, creates and distributes JC news and information via Yale Message.

  • Maintains JC email accounts and listservs.

  • In partnership with the Executive Director, reviews and ensures University guidelines and regulations compliance.

  • Research Assistant hiring and setup with YLS Business Office.

  • Administrative setup of sponsored identities with YLS Human Resources and Fellows via Salesforce.

Essential Duties

  • Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems.

  • Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts.

  • Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission.

  • Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases.

  • Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work.

  • Oversees, instructs, and coordinates activities of support staff.

  • Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Excellent computer skills with Microsoft Office Suite including proficiency with Word, Excel, PowerPoint, and Outlook.

Required Skill/Ability 2:

Excellent writing, editing, and proofreading skills.

Required Skill/Ability 3:

Demonstrated ability to create communications materials independently. Graphic and web design experience preferred.

Required Skill/Ability 4:

Demonstrated ability with all aspects of event and meeting planning and execution, including developing and assembling meeting materials, arranging rooms, catering, transportation, and hotel accommodations.

Required Skill/Ability 5:

Demonstrated ability to prepare expense reimbursements. Ability to manage a budget and related reports.

Preferred Education, Experience and Skills:

Working knowledge of Workday, Squarespace, Adobe Software, Yale Message, Canva, and Slack. Comfortable engaging on social media platforms such as TikTok, LinkedIn, X, and YouTube.
